PRESENTATION GUIDELINES

2023 AUSTRALIAN REGIONAL TOURISM CONVENTION


On behalf of the ART Board, we are excited to include fellow industry professionals and colleagues to participate in the 2023 ART Convention Program. 


Please refer to the program schedule to view the day and time of your presentation.

We appreciate your time and ask you read the instructions to ensure deadlines and expectations as an Presenter are met. Please find below more details on requirements for presentations.

**Helpful hint: when you open the program, use the "Control+F" (or "Command+F" on a Mac) shortcut for the Find function to easily search your paper number or name in the program. 


Presentation Guidelines

An overview of accepted Presentations are detailed as follows:


Plenary Sessions

Overview: Plenary sessions are part of the convention program where all delegates attend in one larger session room.

Location: Held in the Concert Hall at the City Hall, Newcastle

Presentation / Session Style: Varied as a Keynote, Panel or debate

Presentation Length: vary – please refer to the program. If preparing a presentation it is recommended you incorporate 10 minutes Q&A into your allocated time.

 

Concurrent Sessions

Overview: Concurrent Sessions are scheduled at the same time in the program and held in different session rooms, allowing delegates to choose the session they wish to attend.

Location: Held in the Concert Hall, Cummings room, Hunter Room and Mulubinba Room at the City Hall, Newcastle

Presentation / Session Style: Majority of concurrent sessions are a presentation followed by questions and answers from the audience.

Length:

  • Full session = 40 presentation plus 10 minutes Q&A (50 minutes in total)
  • Half session = 20 minutes plus 5 minutes Q&A (25 minutes in total)


Program Lead

For Invited Speakers and EOI submissions who have been asked to participate in a panel discussion, a program lead from the Convention Group has been assigned to your session and will work with you closely on content for your presentation and the overall fit within the proposed program.

We understand most presenters have already been in contact with their Program Lead and hope you can continue to work with them in the lead up to the delivering the presentation in Newcastle this October.

Moderator

An MC or chair will be allocated to each session and will briefly introduce the next session, welcoming the Moderator and giving a brief background and an overview of your experience/background with the session topic. The Moderator is encouraged to provide an overview of the session and topic of discussion and then introduce each of the panel members to the session. The role of a Moderator is to engage with panel members to discuss the topic making sure the speakers can do the best job and the audience gets the most out of the day or session. In addition, the role of a moderator is to keep the session to time, ensuring each speaker/panel member contributes to the conversation and moderate questions from the audience.  

For Invited Moderators who have been asked to participate as a moderator of a panel discussion or debate, a program lead from the Convention Group has been assigned to your session and will work with you closely on content for your presentation and the overall fit within the proposed program.

We understand most presenters have already been in contact with their Program Lead and hope you can continue to work with them in the lead up to the delivering the presentation in Newcastle this October.

 

PRIOR TO THE CONVENTION

Presenter Registration 

All presenting authors must register by 16 August 2023. Please use the unique link sent to your nominated email. A presenter is deemed the nominated person/s who will present the oral presentation. Please note, all presenters will be offered the Earlybird rate.

Submit your Presentation Profile:

To prepare for your presentation we request the following information be sent through. 

  • Photo: used to promote the Convention and your session
  • Bio: used by the MC / chair of the session to introduce you
  • Presentation Overview: provided to delegates via the convention website in advance of the convention
  • and 2 x Prompt questions for MC & Chairperson: in the event that the Convention delegates have no questions to ask you regarding your presentation, and time permits, the MC or chair in your session will ask you these pre-prepared questions to assist in facilitating discussion regarding your presentation.

An email with more information on this and how to submit will be sent to your nominated email and due to be completed by 31 August 2023.  

 

AT THE CONVENTION

  • Bring your presentation on a USB to upload directly with the audio visual technician onsite at the convention venue – City Hall.
    Please note: We do not require your presentation to be sent in advance. 

  • Meet your MC/chair in allocated room in the break prior to your scheduled presentation.
