Event Disclaimer and Terms and Conditions

In registering for GeoSciEd X 2026 (the “event”), hosted by Australian Geoscience Council Inc. (the “Organiser”), delegates agree to the following terms and conditions. 

Privacy

Event Studio (the “Conference Secretariat”) has a comprehensive Privacy Policy regarding information provided to Event Studio. 

Photography and Recording

All sessions may be photographed, videoed, or audio recorded. By participating in GeoSciEd X 2026, delegates give the Australian Geoscience Council Inc., or anyone authorised by them, permission to screenshot, photograph, or record your image and/or presentations for use in print, electronic media, webcasts, internal and external promotional purposes, and archival purposes. 

Disclaimer

At the time of registration, GeoSciEd X 2026 provided the most recent information available. Delegates accept that content and/or the delivery of the event can change beyond the control of the Australian Geoscience Council Inc. The organiser will not take any responsibility for any errors, omissions and changes to the program or content of the event. The Organiser reserves the right to make changes as it deems necessary without penalty and in such situations no refunds, part refunds or alternative offers shall be made. 
  1. The Organiser reserves the right to update the Disclaimer and Terms and Conditions without notice to you. 
  2. The Organiser cannot control all content published or disseminated at the event. You may find other delegates’ or participants’ communications, graphics, audio files or other information inappropriate, offensive, harmful, inaccurate, dishonest or misleading and/or deceptive, however you alone are solely responsible for your interaction with other delegates and agree to act responsibly and exercise caution, common sense and safety while in attendance at the conference.
  3. The Organiser its directors, employees, servants, agents and affiliates shall not be liable for any losses, damages, liabilities, claims or expenses whatsoever arising out of or referable to the event. 

Registration

Delegates and Authorised Registrants 

If registering on behalf of a delegate, it is the registrant’s responsibility to notify the delegate of these terms and conditions. Registrants must provide accurate and complete delegate information. 

Payment of Fees 
All conference fees must be paid in full prior to the Conference. To qualify for early bird registration, fees must be paid by the date stated on the tax invoice. Registration fees are based on payment receipt date, not the date of form submission. 


Field Trips

Payment and Confirmation 

Delegates wishing to participate in field trips must pay both the field trip fee and the conference registration fee in full at the time of registration to secure their place. Field trip places are allocated on a first-come, first-served basis and are subject to minimum and maximum participant numbers. 

Minimum Numbers and Organiser Cancellation 

The Organiser reserves the right to cancel any field trip if minimum participant numbers are not met. Delegates will be offered an alternative field trip (if available) or a full refund of the field trip fee. 

Delegate Cancellation and Refunds 

  • Cancellations more than 60 days before the Event will receive a full refund of the field trip fee. 
  • Cancellations within 60 days of the Event are non-refundable, as payments to suppliers, accommodation, and transport will have been confirmed. 

Substitutions 

Delegates may nominate a substitute participant for a field trip at any time by notifying the Organiser in writing. Substitutes must meet all eligibility requirements, and any fee difference must be settled by the original registrant or substitute. 

Changes to Field Trips 

The Organiser may alter field trip itineraries, including timing, transport, or content, for operational reasons. No refunds will be provided except where a trip is cancelled due to insufficient numbers. 


Cancellations and Refunds

  1. Should a delegate be unable to attend, a substitute delegate is welcome. 
  2. All cancellations must be submitted in writing to the Conference Secretariat – Event Studio. 
  3. Cancellations received on or before 16 July 2026 will incur a $100 administration fee. 
  4. Cancellations received after 16 July 2026 are non-refundable, and any outstanding registration balance remains due in full. No-show delegates are treated as cancellations, and the above policy applies. 
  5. Should you be unable to attend a substitute delegate is welcome. All cancellations or alterations to registration must be submitted in writing to the conference Secretariat – Event Studio.
  6. Cancellations made 30 days prior to the conference will be refunded 50% of fees paid. No refunds will be made for cancellations after this date and any registrations with a balance remains due in full. All refunds will be made at the conclusion of the conference. 
  7. A No-Show will be deemed a cancellation, and the above policy applies.

Indemnity

Should, for any reason outside the control of The Australian Geoscience Council Inc, the venue or speakers change, or the event be cancelled, The Australian Geoscience Council Inc will endeavour to reschedule. In this instance the delegate will indemnify and hold The Australian Geoscience Council Inc harmless from and against any and all costs, damages and expenses. 

Insurance

Insurance, including medical cover and expenses incurred in the event the conference is cancelled, is your responsibility. We recommend you discuss your insurance cover with your travel agent. The policy should include loss of fees/deposits through cancellation of your participation in the conference or through the cancellation of the conference itself, loss of airfares for any reason, medical expenses, loss or damage to personal property and additional expenses and repatriation, should travel arrangements have to be altered. The Conference Secretariat will take no responsibility for any participant failing to insure. 

Force Majeure

Neither party shall be liable in damages or have the right to terminate this agreement for any delay or default in performing hereunder if such delay or default is caused by conditions beyond its control including, but not limited to Acts of God, Government restrictions (including the denial or cancellation of any export or other necessary license), wars, acts of terrorism, insurrections, natural disaster, global health crisis and/or any other cause beyond the reasonable control of the party whose performance is affected. 

Entire Agreement

Subject to any amendments specified in subsequent event registration forms or terms and conditions, the event registration form and these terms and conditions constitute the entire agreement between the parties and supersede all prior discussions, negotiations and agreements in relation to the event.
