Sponsorship Terms & Conditions 

The Australian and New Zealand Society of Nuclear Medicine (“ANZSNM”) as the Organiser is a society that has as part of its objectives the promotion of nuclear medicine education for its members. Since 1970 it has organised Annual Scientific Meetings which assists in this mission including promoting the profession and is a forum for the wider industry to participate. The ANZSNM employs (referred to as “the Secretariat”) Event Studio Pty Ltd to organise the ASM.

1.    Definitions of Parties referred

“The Organiser”, “We”: Australian and New Zealand Society of Nuclear Medicine (ANZSNM)

“The Secretariat”: Event Studio Pty Ltd

“The Venue”: Brisbane Convention and Exhibition Centre (BCEC)

“The Event”: Annual Scientific Meeting: ASM 2022

2.  TERMS AND CONDITIONS

By confirming your involvement as a sponsor, you agree to the 2022 ANZSNM ASM terms and conditions below.

2.1 Right to Amend sponsorship content and offer

The Organising Committee reserves the right to amend the sponsorship terms and conditions, the sponsorship packages, add any sponsorship package and accept any sponsorship offer, listed or unlisted, at any time and without notice.

2.2 Attendance

The organisers make no warranty as to the number of delegates and/or visitors that may attend the exhibition and/or associated Conference.

2.3 Provision of Delegates Details

The provision of delegate contact details as specified in individual packages is subject to the Provisions of the Privacy Act 2001. The Privacy Act 2001 provides that before name and address details can be published in the list of Conference delegates for distribution to fellow delegates or any other party, delegates must give consent. When a delegate list is supplied to the sponsor, you are reminded to use it in accordance with the Australian Spam Act, the various Australian Privacy Acts and by following business best practices for information management.

2.4 Public and Product Liability Insurance

All sponsors and exhibitors are responsible for their own insurance, including public liability. It is recommended exhibitors hold public and product liability insurance based on a limit of indemnity to the minimum value of $10 million dollars. This refers to damage or injury caused to third parties / visitors on or in the vicinity of an exhibition stand. We ask exhibitors to provide a copy of their insurance policy and certified currency upon request.

2.5 Corporate Recognition

Inclusion of corporate logos or recognition in soft copy material is subject to meeting publication deadlines. We request that all logos be supplied in an eps format or high resolution 300 dpi jpg file. Should an alternative format be received, the Conference Organisers cannot be held responsible for the quality of the logo displayed in any of the promotional material or documentation.

2.6 Sponsor/Exhibitor Registrations, Exhibition & Attendance

All sponsor/exhibitor representatives attending the Conference must be pre-registered with the Secretariat in advance.

Sponsors/exhibitors are responsible for the virtual and physical exhibition that they will reside including providing the content to be presented in the stand and staffing the exhibition on the day.

The organiser reserves the right to review sponsors/exhibitors proposed exhibition stand content prior to the Conference.

2.7 Photography/Recording

Sponsors may download images or recordings of their own stand. Digital images or recordings of the presentations and of the event in general including other sponsors/exhibitors’ stands is prohibited without consent of the other parties. 

2.8 Breakfast Sessions

The Organisers will provide each Breakfast Session sponsor with an appropriate meeting room, standard audio-visual equipment package (screen, data projector, computer, podium and audience microphones). Breakfast Session sponsors are welcome to add promotional signage and provide catering. Sponsors are responsible for the cost of catering, any travel, accommodation and registration fees for all speakers or chairpersons participating in the sponsored session.

3.0 CANCELLATION POLICY

3.1 Spacing restrictions due to COVID-19

The priority is the safety and well-being of delegates.  The organiser reserves the right to adjust attendance numbers at the event in line with the most current social distance regulations and public health guidelines as directly applicable to Queensland but including commonwealth government regulations that may impact the local state regulations directly. In addition, the organiser will have to comply with the directions of the Venue.  

3.2 Cancellation of Face to Face Conference including due to COVID

In the event that the Conference is cancelled through no fault of the Organiser, the Venue or Conference Secretariat including via public health orders but also not limited to fire, flood, labour disputes, natural disasters, acts of God, civil disorders, riots, insurrections, work stoppages, slowdowns or disputes, global health crisis, or other similar events, all Sponsorship and Exhibition bookings will be either 1) carried forward to the succeeding face-to-face Conference , or 2) fees refunded less a 15% administration fee reflecting costs that will have been incurred as well as benefits received by exhibitors by way of advertising to that point.

3.3 Cancellation by Sponsor or Exhibitor
Once a booking has been confirmed for Sponsorship or Exhibition opportunities, any cancellation received by 31 March 2022 an administration fee of 15% of the total price will be retained. If the cancellation is received after 31 March 2022, no refund is applicable.

All cancellations are to be received in writing and acknowledgment received from the Conference Secretariat within 72 hours of lodging cancellation (subject to public holidays).

4. INDEMNITY

Sponsor shall indemnify the Organiser, the venue and Conference Secretariat and hold them harmless for any claims, losses, damages, fees, expenses, or awards arising out of (1) any personal injury, death, or property damage caused by Sponsors/exhibitors negligence or misconduct related to its role as a Sponsor/Exhibitor for 2022 ANZSNM ASM; or (2) any material, exhibits, documents, or other content distributed, displayed, or otherwise provided by Sponsor/Exhibitor for 2022 ANZSNM ASM; or (3) cancellation or deferral of the Conference;

5. OTHER

5.1   All costs exclude GST. Sponsors and Exhibitors agree to pay the Organiser the full amount payable and as due. Monies are to be paid in Australian Dollars and include potential bank fees for processing international transfers. A tax invoice will be sent on receipt of confirmation of sponsorship including terms and conditions with payment terms noted. All money must be paid in full to ensure the full sponsorship/exhibition entitlements are fulfilled. Any Sponsor and/or Exhibitor with outstanding money by 29 April 2022 will not be listed in publications and Exhibitors will not be permitted to participate until all outstanding money has been paid.

5.2 All venue signage is to be freestanding and not of a permanent nature unless otherwise approved and further subject to venue pre-approval.

5.3 The Organiser holds the continuing right to use all conference material, including sponsor logos and branded content, in future ANZSNM publications, press releases, Internet Publications, PR, promotional materials and reprints.
